We're working with a new 12.3 DCRUM installation.
We have a DMI report we've created which is showing usernames and the software services they have used. When we copy the username data listed in the report, add it to the search text box at the bottom and press find, the user's data is not found.
Can you explain this ?

looking at the screenshots it appears you have a username filter in the firs but not one in the second.
Is it possible in your second report you have more than 1000 rows? If so that user may not appear without a filter.
Can you try changing the select top items from 1000 to 0?

Warn users that the might not see all data since the table/chart displays N=1000 entries and this is the same value as top N provided in report definition?
Yes - that would suffice. As it is now, you would need the experience of building DMI reports to know that the limit is there something that is not apparent.
We have the other warnings in the graphs that "has been trimmed for readability" so why not highlight that there is a a limit of 1000 imposed on this query for performance reasons - but that should only display when the report is toeing the line, not else!
